Enabling multi-user hosting

Not planning to use more than one simultaneous user?

Alternatively if you only have one QuickBooks license and you’re just testing out MyQuickCloud, you can skip this section and come back to it when you’re ready. If you’re in any doubt of what to do just open a live chat with the green ‘Chat Now’ icon at the bottom of the page.

What is multi-user hosting?

By default, QuickBooks is set to single user mode so only one person can be loaded into and make changes to a company file at one time. To enable more than one user to access at a time you will need to set QuickBooks and the company file to open in multi-user mode.

Please Note: You will need to have the corresponding licenses with Intuit to enable multiple users to access QuickBooks. QuickBooks licenses can be bought online via their website or occasionally you can find deals on Amazon etc.

Step 1 – Turn on multi user hosting

This first step installs the QuickBooks Database Server Manager. Follow the instructions below:

  • In QuickBooks, go to the File menu, click Utilities,
  • Next click Host Multi-User Access.
  • When prompted, click Yes to allow QBDBMgr.exe to make changes to your computer
Step 2 – Configure the QuickBooks Database Server Manager
  • Click the Windows Start button at the very bottom-left corner of your screen.
  • Click the Search bar or button and type in QuickBooks Database Server Manager.
  • Click to open the server manager
  • The QuickBooks Database Server Manager window will open.
  • In the Scan Folders tab, click Add Folders to add the  Public Documents folder that we stored the company file in earlier:
    • C:\Users\Public\Public Documents\Intuit\QuickBooks\Company Files
  • Next, click Scan.
  • The QuickBooks Database Server scans the folders and creates the necessary files for it to connect to those company files.
  • (Optional) Click the Monitored Drives tab and ensure that the local hard drives are selected as being monitored.
  • The QuickBooks Database Manager will monitor the selected drives for company files added or moved to that drive.
  • Click Close to close the server manager.
