The QuickBooks Database Server Manager is a tool required by QuickBooks to make use of its multi-user access function, whereby multiple users can access and modify the same company file at the same time. It can also show you which company files are currently open, and who is logged in to them.
To setup the Database Server Manager:
- Open QuickBooks, go to the File menu, click Utilities, then click Host Multi-User Access
- When prompted, click Yes to allow QBDBMgr.exe to make changes to your computer
- Click the Windows Start button and type in the word database, then select the QuickBooks Database Server Manager shortcut when it appears
- Where it says Add the folders containing your company files click the Browse button, and browse to C:\Users\Public\Public Documents\Intuit\QuickBooks\Company Files\ (this is the default and recommended company file folder, however if your files are located elsewhere, browse to that location instead for this step)
- Click OK and then Start Scan and wait until the Status says Scan Complete!
You can also see who is currently signed in to the company you’re using by clicking on the Database Server tab at the top and checking under where it says Currently opened company files and logged in users. So if for example, someone has the company file open in Single User mode and you can’t open it, you know who to contact.
